About these terms & who we are

Cubico is an AI-assisted university counselling service. Where we currently operate, that means students of Pakistani origin applying to universities in the United States, the United Kingdom and Canada, and we will say so here as that coverage grows. In these terms, “Cubico”, “we” and “us” mean the Cubico service, and “you” means the person using it: a student, a parent or guardian, or a counsellor.

These terms apply to the student app, the counsellor dashboard, this website and the services behind them. Your use of Cubico is also governed by our Privacy Policy, which explains how we handle your data. Where a school, agency or counselling practice brings you to Cubico, that organisation may also have its own agreement with you that sits alongside these terms. If you are using Cubico on behalf of an organisation, you confirm you are authorised to accept these terms for it.

What Cubico is, and what it is not

Cubico exists to make a human counsellor's hour count. It compresses the research, preparation and routine drafting that used to cap how many students one counsellor could support. It does this through four surfaces:

• The matchmaker: a deterministic fit score across academics, entry requirements, cost and visa/post-study signals, tiered as reach, match or safety, with the reasoning shown in plain words.
• The AI counsellor: draft shortlists, essay outlines and timelines, produced on rails for your human counsellor to review, adjust and ship.
• The chatbot: read-only answers grounded in the real programme dataset and your own profile.
• The briefing engine: the briefing pack that lets one counsellor prepare for, and serve, many students well.

Cubico is a tool that supports counselling. It is nota substitute for a qualified counsellor, an admissions officer, a lawyer, an immigration adviser or a financial adviser. An accountable human counsellor stays responsible for every student on the platform, and the final judgement on any application is always a person's, never the software's.

Accounts & eligibility

To use Cubico you need an account, and you agree to give us accurate information and to keep it up to date. You are responsible for activity under your account and for keeping your sign-in details private. Tell us promptly if you think someone else has accessed your account.

• Sign-in is handled by our authentication provider (Firebase). You agree to use a genuine identity and not to impersonate anyone.
• One person, one account: do not share a login, and do not create an account for someone who has not agreed to these terms.
• Counsellors and practices are responsible for the students they invite, and for using their access only for those students.

Because many of our users are minors, eligibility depends on guardian involvement where required (see the next section).

Students under 18 & guardians

Many Cubico students are minors, and we treat that as the norm, not the exception. If you are under 18, or under the age of digital consent that applies where you live, you may use Cubico only with a parent or guardian who is involved in creating and overseeing your account and who agrees to these terms on your behalf.

• A guardian may review the information a student provides and act on the student's behalf, including closing the account.
• We design for a parent to be able to read along; nothing in Cubico is hidden from an involved guardian.
• If you are a guardian and believe a student is using Cubico without appropriate consent, contact us and we will resolve it.

AI outputs are guidance, not guarantees

Cubico's outputs (match scores and tiers, shortlists, essay outlines, timelines and briefing packs) are decision-support for you and your counsellor. They are informational, they can be wrong or incomplete, and they are meant to be reviewed by a human before you rely on them.

• A match score is a structured estimate of fit, not a prediction of admission. Admissions decisions belong to universities alone.
• Nothing in Cubico guarantees an offer, a place, a scholarship, financial aid or a visa. No score can promise an outcome.
• Programme data (entry requirements, deadlines, cost and post-study signals) is gathered from public sources and kept verified and dated, but it can change or contain errors. Always confirm the current requirements on the university's own website before you act.
• A counsellor's manual override always beats scraped programme data, because a counsellor catches what a scraper misses.

No automated application submission

Cubico prepares applications; it does not submit them. We do not, and will not, file applications on your behalf through UCAS, the Common Application, OUAC or any university portal. Submitting an application, and taking responsibility for what it contains, is always something you or your counsellor do yourselves, directly.

You agree not to use Cubico to attempt automated or unauthorised submission to any application system, and you accept that you are responsible for meeting every deadline and requirement yourself. A timeline in Cubico is a helpful reminder, not a commitment by us that anything will be filed.

No visa, immigration or financial advice

Cubico provides information. It does not advise on regulated matters. Two kinds of question are declined by design, and you should not treat anything Cubico shows you as advice in these areas:

The chatbot will decline visa-legal and loan-financial questions rather than answer them. That is a deliberate limit, not a fault.

Acceptable use

Cubico is here to help students and counsellors do honest work. When you use it, you agree not to:

• Submit false, plagiarised or misleading information (including fabricated grades, qualifications or identity details), or misrepresent your own work in an application.
• Use Cubico to break a university's or application system's own rules, or to do anything unlawful.
• Attempt to reverse-engineer, scrape, overload, probe or disrupt the service, or to bypass its security, rate limits or the safeguards described in these terms.
• Copy, resell or redistribute Cubico's programme dataset, scores or briefing packs outside your own counselling engagement.
• Upload content that is unlawful, harmful, or that infringes someone else's rights, or use the service to harass anyone.
• Present the AI's drafts as a substitute for your own genuine effort where an application asks for your own words and work.

Your content & intellectual property

What you create stays yours

You keep ownership of what you put into Cubico: your profile, your notes, and the essays you write. The AI produces outlines, not finished essays, precisely so that your essay voice stays yours. You are responsible for reviewing and finalising anything drafted with Cubico's help before you use it.

You grant us a limited licence to process your content only to run the service for you, for example to compute matches, assemble your counsellor's briefing pack, and improve the product in the ways described in our Privacy Policy. We do not claim ownership of your work, and we never sell student access or data.

What belongs to Cubico

The Cubico software, design, scoring logic, programme dataset and brand are ours or our licensors', and are protected by intellectual-property law. Using Cubico gives you a personal, non-transferable, revocable licence to use the service as intended. It does not transfer any of these rights to you.

Service availability, plans & changes

Cubico is offered on an “as available” basis. We work to keep it running, but we may update, add, pause or remove features, and there may be downtime for maintenance or reasons beyond our control. We are pre-launch, so parts of the product are still evolving.

Where a paid plan applies, the price, what it includes, and the billing terms will be set out at the point you sign up or in a separate agreement, and those specifics prevail over this general section. We will not change the core commitments in these terms (a human in the loop, no pay-to-rank, no sale of student access) as part of any pricing change.

Disclaimers

Cubico is an information and preparation service. To the extent the law allows, it is provided “as is” and “as available”, without warranties of any kind, whether express or implied, including any implied warranty of accuracy, fitness for a particular purpose, or that results will meet your expectations.

• We do not warrant that any match, outline, draft, timeline or piece of programme data is complete, current or free of error. Verify anything important with the university and with your counsellor.
• We do not guarantee any admission, scholarship, financial-aid, employment or immigration outcome. Those decisions rest with the relevant institutions and authorities.
• Cubico is not a substitute for professional legal, immigration, financial or admissions advice. Where you need that, seek a qualified professional.

Limitation of liability

To the fullest extent permitted by law, Cubico will not be liable for indirect, incidental, special or consequential losses, or for loss of an admission, scholarship, place, opportunity, data or goodwill, arising from your use of the service, your inability to use it, or your reliance on any output it produces.

Nothing in these terms limits any liability that cannot be limited by law, for example liability for death or personal injury caused by negligence, or for fraud. Some jurisdictions do not allow certain exclusions, so parts of this section may not apply to you, and you may have rights under local consumer law that these terms do not affect.

Suspension, termination & governing context

You can stop using Cubico and close your account at any time. We may suspend or end access if you breach these terms, if it is needed to protect students, other users or the service, or if we are required to by law. Where it is reasonable and lawful, we will give you notice first.

The parts of these terms that by their nature should survive (such as intellectual-property ownership, disclaimers and the limitation of liability) continue to apply after your account ends. If any provision is found unenforceable, the rest stays in force.

The governing law and the courts or forum that apply to these terms will be confirmed before launch, appropriate to how and where Cubico operates. Today that means the jurisdictions we currently work across: Pakistan, the United States, the United Kingdom and Canada. Until then, this document sets out the intended basis of the relationship.
